A car rental contract in two minutes: signing on a tablet

The moment of handing over a car is the most vulnerable one in rental. The client is standing right there, often in a hurry, sometimes arriving at the airport at night. That is exactly the moment when you have to draw up the contract, record the condition of the car, take the deposit and get nothing mixed up. The longer and more chaotic this procedure is, the higher the chance that something will be filed "later" — and later it never gets filed at all.

Where the contract data comes from

The main idea is simple: by the time of handover the system already holds everything needed. The client and their documents were entered at the booking stage, the car was chosen, the term and price were worked out by the calculator, the deposit was set. The contract is not filled in from scratch — it is assembled from that data. So "two minutes" is not an advertising figure but a consequence of there being almost no manual entry left at this step. What happens on the tablet

  • The employee opens the booking and generates the rental agreement from the deal data.
  • The client reads the document on the screen and signs it with a finger right on the tablet.
  • The receipt is issued the same way — for the payment and for the deposit.
  • The signed documents stay linked to the booking, the car and the client, not to a folder in a cabinet.

Why this is not just "handier than printing"

The paper process breaks in three places. First, the printer: it is always in the office, and the handover often is not. Second, storage: paper gets lost, and finding a three-month-old contract by car registration is a quest of its own. Third, connectedness: a signed sheet knows nothing by itself about a fine that will arrive in a month. An electronic document tied to the booking solves all three at once, because it is part of the same data chain where fines, deposits and vehicle history live.

Mobility as a mandatory condition

Taking the car back — the second half of the process

Returns get forgotten more often than handovers, and they are no less important. It is at the return that the decision about the deposit is made, damage is recorded and, if needed, an accident record is created. When the contract and the booking are in the system, the return is not a search for paperwork but opening a deal that already exists. And only after the return is closed does the car go back into the calendar as available, which also removes the question of false idle time.

About the legal side, honestly
