How to gather bookings from every channel in one window

A rental company that lives off one source of clients is a rarity. Usually requests arrive at the same time from its own website, from aggregators like Localrent and Wayrent, and from classifieds boards. Each channel has its own interface, its own notification format and its own pace. Meanwhile the manager holds one shared fleet schedule in their head — and it is exactly that gap that sooner or later fails.

What a typical failure looks like

The scenario is almost always the same. A request came in from a marketplace at the moment the employee was on the phone with a client. He said the car was free and wrote down the booking. The marketplace request was confirmed by a colleague on the second shift, because in his tab the car was not booked by anything. On Monday two people turn up for one car. Then come the apologies, the rebooking, sometimes compensation, almost always a damaged review. Neither side made a mistake: the way of working made the mistake.

What a "single window" means in practice

  • Requests from the website and from the marketplaces land in one shared inbox list, not in four different places.
  • A request turns into a booking, and the booking immediately occupies the car in the availability calendar.
  • There is one calendar for the whole fleet, shared by all employees and all shifts.
  • With a multi-branch structure you can see where the car physically is, not just that it is occupied.

Why the calendar matters more than the request list

A request list answers the question "what came in". The calendar answers the question "what can I promise". The second question comes up far more often in a real conversation with a client. Response speed and what it costs

On aggregators the winner is not the cheapest car but the one that was answered fastest. When requests sit in a shared list and the available cars are visible, an answer takes seconds. When answering requires opening three tabs and checking with the mechanic whether the car has gone in for servicing — it takes minutes. We are not going to name an exact conversion figure, we have no such measurements, but the direction of the relationship is obvious to anyone who has worked the desk.

Corporate clients are a separate flow

Companies book differently: less often, for longer, frequently several cars at once, and they need invoices and closing documents. If such deals are handled in the same flow as one-off requests from classifieds, they get lost or filed sloppily. What to do if there are more channels

Channels come and go: today one aggregator brings half the requests, in a year it is another. The point of a single window is precisely that adding a channel does not change the internal process: the request still turns into a booking, the booking into a contract, the contract into a handover.
