Online booking for a salon: how it fills the schedule

There is a simple observation familiar to any salon manager: people decide to book outside the salon's working hours. In the evening after work, on a Sunday, in a queue, at the moment they happen to remember. If at that moment the only way to book is to call, some clients do not book at all. Not because they changed their mind, but because the moment passed.

What online booking actually does

It does not bring in new clients — it is important to say that honestly. Traffic comes from other things: location, reputation, advertising. Online booking does something else: it turns an intention that already exists into an appointment at the moment the intention is there. And it takes off the manager a stream of identical conversations along the lines of "when is there a slot with Anna", freeing them up for the people already in the salon. The condition without which none of it works

Online booking is useful exactly to the extent that the schedule it draws free slots from is up to date. If the appointment book is kept only partly and some appointments live in someone's head or in a chat, automatic booking will start selling occupied time — and that is worse than not having it. So the first step is always the same: move the appointment book fully into the system. Only after that switch on booking for clients.

What to configure before launch

  • The real duration of each service, including cleaning and preparing the station, not just the stylist's working time.
  • Which stylists perform which services — otherwise a client will book something the stylist does not do.
  • The booking horizon: how far ahead a client can reserve time.
  • A buffer before the nearest appointment, so that nobody books ten minutes before the visit.
  • Breaks and stylists' personal time — easier to block off in advance than to untangle afterwards.

Four views of the appointment book are not decoration

After online booking is launched the load on the appointment book grows, and it becomes noticeable that different people need different views. A manager finds the view with all stylists at once convenient for quickly finding a slot; a stylist wants only their own day. No-shows: the flip side of easy booking

The easier it is to book, the easier it is not to turn up — that is an honest regularity. It is offset by reminders through mailings and by the fact that a freed-up slot becomes visible quickly and can be offered to another client. We are not going to claim that reminders solve the problem completely: some people do not turn up regardless of reminders. But a slot you learn about a day in advance and a slot you learn about at the time of the visit are different situations.

The client card as a continuation of the booking

Booking over the internet is impersonal by definition — you do not see the person. What compensates for it is the client base: when the client arrives, the visit card already holds their history, previous services and payments. That lets you have a substantive conversation instead of starting the acquaintance over. Plus bonuses and the client's group are pulled in here too, if you have a loyalty programme set up.

A practical rollout order

First the appointment book fully in the system — at least two weeks, so that it becomes the single source of truth. Then configuring services, stylists and buffers. Then launching online booking and watching it for the first couple of weeks, ready to adjust durations.
